A candidate has signed up 🎉 We now need to deliver an awesome experience for them to keep them engaged. Here is how we currently do it.

Stage 1 | Candidate Sign Up

Owned by | KKG

  • Candidate hits our website and signs up using the Candidate Sign Up Typeform

  • Once the candidate submits their form 4 actions are trigger using Zapier

    • #candidate channel in slack is notified

    • Young Person Profile Database Sheet is populated

    • The candidate is sent an SMS welcoming them and asking them to complete their 1:1

    • If they have opted in the candidate is signed up to mailchimp and placed in the Marketing Newsletter List

  • Mailchimp then triggers the Welcome to Further My Future Email for all who have opted in.


Stage 2 | 1:1 Complete

Owned by | KKG

  • Within 24 hours of sign up we would expect the candidate to complete their 1:1

    • If not @rich triggers a reminder

  • Once completed zapier trigger a Slack notification in #candidates to notify us it’s complete

  • We then add answers into buzz quiz

  • Once all details are completed on the 1:1 @Rich to send a email asking for the candidate to have a quick call to discuss our service. Ensure attached candidate commitment statement

    • If this is no response within 24 hours @Rich sends chaser “Candidate Commitment” on messagebird

  • If candidate responds then send @rich sends invitation via calendar

  • @Rich completes call talking through the service and commitment required - notes on how to do this here

  • If candidate agrees, they need to send over their statement. This is sent via email. @rich then updates Live Candidate Profile Database to confirm they agree

  • @rich saves the Commitment Statement to their individual file here

  • @Rich updates  Young Person Profile Database Sheet Column AK to move candidate into Live Candidate Profile Database and updates status of their Commitment

Candidate Live on :trello: is then updated to review the time allowed for @rich to complete matching

    • Column AF = Yes

    • Column AG = Yes

    • Column AH = contains date

Live Candidate Profile Database

    • Column M = Yes

    • Column N = contains date

    • Column P = In Progress


Stage 3 | Matching Complete

Owned by | Rich

  • Once slack notification is received the candidate is then categorised by @kkg based on the following Criteria.

  • @rich then updates Live Candidate Profile Database to state Standards Research in Progress

  • Then the matching process is complete

  • @rich then updates Live Candidate Profile Database to state Standards Research Complete and notifies KKG to build the Shop via Trello

  • @kkg then builds the candidates SHOP

  • Once complete @kkg updates Live Candidate Profile Database to state Matching Doc Created YES and send Slack notification in #candidates to @rich to say it’s ready

  • @rich then send the SHOP to the candidate

  • The candidate reviews the SHOP and feeds back their thoughts on the matches via the Matching Feedback typeform

  • @rich receives a notification the feedback has been completed via slack and reviews the results of the survey

  • @rich then arranges for a call with the candidate messaging the candidate through message bird with this the Matching Call Booking template saved here

  • @rich then completes the matching call (details of how to run the call here) and comes out with their top matches

  • @rich then updates Live Candidate Profile Database to state Matching Call complete and updates Selected matches Tab, removing those they weren’t interested in and using a the Traffic Light system to grade interest in standards.

  • @rich then gives his classification based on call experience

  • @rich then updates candidate SHOP doc to remove all matches not selected and send updated doc to candidate

  • @rich then sends FRP booking sms

    • All selected matches are present with traffic light system for grading

Employer Candidate database

    • All candidate data is fed across and matches are graded


Stage 4 | FRP Booking

Owned by | Rich

  • Within 48 hours of sending the booking text we would expect the candidate to book in via Doodle

    • If not @rich triggers chaser SMS

  • Once they have booked in @rich  updates Live Candidate Profile Database Column Y to state FRP is booked  and Column Z to state which date they are booked in for and sends a Slack notification in #candidates to notify us that the candidate has booked in.

  • @rich then sends FRP confirmation email to candidate

  • 24 hours before FRP date @rich resend confirmation

Stage 5 | FRP Kick Off Complete

  • Candidates attends and complete the FRP Kick off (details of what that entails here)

  • Once they have completed in @Rich  updates Live Candidate Profile Database Column AA to state FRP Kick off is Complete  and Column Z to state which date they completed it

  • @kkg then exports the post data from Typeform and creates a new Benchmarking sheet here.

  • @kkg then benchmarks the candidate on skills and where they need support

  • @kkg and @rich then use this to build out personalised FRP Programme

Candidate Leaving

Candidates leaving the service of Further My Future is viewed in both the positive and negative aspects. It is essential we gain learning from the negatives to inform our service, and equally important that we celebrate successful transitions for our candidates.

Positive Leaver:

The positive leaver is someone who has gained employment through their engagement with us. As a result it’s important that we capture this. In this instance the following process should be followed.

  • @Rich sends the candidate an email, celebrating their success and thanking them for being part of Further My Future. Inform the candidate that we would like to gather some insights into their time with us, and that you will be putting them in contact with Marketing colleagues to gather this information. The candidate should be asked at this point to complete a positive leavers survey here

  • @Rich should then use this Trello Board to communicate the candidate has left and inform marketing that action is needed

  • @Dayna then sends an email to recognise their achievement, thank them for their time with us and wish them well for the future. Within this email there will also be links to the following:

  • Notes and guidance on creating a google review for Further My Future

Negative Leaver:

The negative leaver is classified as someone who has decided they no longer wish to engage with Further My Future in the hunt for employment. This could be communicated to us by the candidate wishing to no longer take part, but also on occasion the candidate may choose to cease communication with us.

In this instance the following process should be followed by the candidate team.

  • @Rich to send email confirming they wish to leave (if no response send a text)

  • If no response to either then an email communication @Rich to send with this survey attached

  • If there is a response send email with this link attached within asking for feedback. Final communication should be pleasant, thankful and encouraging.

  • @Rich then to record the candidate as lost on this spreadsheet
